How insurance works at trade show halls

Exhibitor insurance requirements are standard in this industry and routinely ignored in practice. The exhibitor kit says $1,000,000 and names three parties; a third of exhibitors send something that doesn't satisfy it, and the show organizer processes those by hand in the two weeks before move-in.

The small exhibitors are the problem, not the large ones. A national brand's risk department produces a certificate in a day. A regional company with eight employees taking a ten-by-ten booth does not have a risk department.

A link in the exhibitor kit lets that company buy coverage for the show dates, with the hall, the organizer, and the general service contractor all named, and sends the certificate to the people who need it.

What you're actually exposed to

  • An attendee is injured at an exhibitor's booth, by a demo, or by a product sample.
  • An exhibitor's booth build, rigging, or freight damages the hall floor, walls, or utilities.
  • An exhibitor's own staff is injured during move-in or move-out.
  • An exhibitor sends a certificate that names nobody, and move-in day is tomorrow.

There are two links — most places need both

A renter's policy covers their event. It does not cover the food vendor they hired or the band they booked. Those are separate businesses with separate exposure, so they need their own coverage — and you need to be named on that too.

Vendor link

For each business working inside the event — they buy their own policy for their own booth or act, and your grounds are named on each of those policies.

Food vendors, entertainers, product and merchandise sellers, antique dealers, clothing sellers, crafters, service vendors.

Whole-space link

For the person or company renting your entire space for their own event. They buy a TULIP for the dates they have the place, and you're named as additional insured on it.

Weddings, receptions, reunions, birthday parties, clubhouse rentals, conferences, corporate offsites, fundraisers, memorials.

You can set up one or both on the same form below — there's no extra cost either way, and the renters and vendors buy their own coverage.

How it works for your grounds

Require proof of insurance from your vendors and space renters without collecting it by hand. One set-up, then the certificates come to you instead of you chasing them.

Step 1

You Sign Up

Complete a short one-time form to open your grounds' account — free, no obligation.

Step 2

We Create Your Links

We build a custom link for whoever rents the whole space, and one for your vendors.

Step 3

You Share Them

Put the links in your vendor packet, booth application, rental contract, or event page.

Step 4

They Buy Coverage

Each vendor or space renter buys their own event liability policy in minutes.

Step 5

Certificates Auto-Issue

A certificate naming your grounds as additional insured is emailed to them and to you.

Vendor eligibility

Your vendors are eligible too

It isn't only the person who rents your hall. The businesses that work your events can buy their own event liability coverage through your vendor link — for a single day, a weekend, or a whole season of dates.

Food vendors

Booths, stands, concession trailers, and food trucks serving at your event.

Entertainers & performers

Bands, DJs, dancers, magicians, face painters, and stage acts.

Product & merchandise sellers

Booths selling goods, gifts, souvenirs, or packaged products.

Antique & collectible dealers

Flea market, swap meet, and estate dealers selling from a booth.

Clothing & apparel sellers

Boutique, vintage, and apparel vendors working your market.

Crafters & makers

Handmade goods, art, jewelry, candles, and maker booths.

Service vendors

Rentals, staffing, inflatables, photo booths, and setup crews.

Other vendors

Host something that isn't on this list? Tell us on the set-up form and we'll confirm whether it's eligible.

Each vendor is named on their own policy and your hall is named as additional insured — so one vendor's claim stays with that vendor.

Ready to set up your link?

Set-up takes about two minutes and costs you nothing — the renter or vendor pays for their own policy. We provision your custom link from there.

Set up your link

Complete this one-time form and our team will provision your custom link. You'll receive it by email once your account is set up.

The coverage bought through your link is a TULIP — a Tenants' and Users' Liability Insurance Policy. It's the standard way trade show halls have renters and vendors carry their own event liability coverage, name the property as additional insured, and hand over the certificate.

Which link(s) do you need?

A renter's policy covers their event — it doesn't cover the food vendor they hired or the band they booked. Set up either link, or both; there's no extra cost.

What kinds of vendors work your events?

Tick everything that shows up at your events so we can confirm eligibility before your link goes out. Anything not listed goes in the box at the bottom.

We'll confirm whether each one is eligible before your link goes out.

Insurance limits you require of renters

These limits are automatically included
Personal & advertising injury
$1,000,000
Damage to premises rented to you
$300,000
Require a higher damage to premises rented limit?

$300,000 is included. You can require more — note that a higher limit carries an additional premium, which is charged to the renter, not to your venue.

Additional insureds & certificates

Add another additional insured?

Your venue is automatically named as additional insured. Turn this on if another party also needs to be named (for example a property owner, management company, or municipality).

Frequently asked questions

Why do exhibitors need their own coverage?

Because each booth is an independent business operating on the floor. The organizer's policy and the hall's policy are generally not written to respond to a claim arising from an exhibitor's own booth, demo, or product.

Can the hall, the organizer, and the service contractor all be named?

Yes. The link is configured with every party your exhibitor kit requires, so each policy lists them all without the exhibitor having to interpret the kit.

Does coverage include move-in and move-out days?

A policy written for the show's full run of dates covers the exhibitor's activity across move-in, show days, and move-out, which is when most booth injuries actually happen.

What does the link cost us?

Nothing. Set-up is free and the renter or vendor pays for their own policy.

Is everything eligible?

No. Coverage is subject to the carrier's eligibility rules, and some events and activities can't be written. Your link tells someone up front if they don't qualify, so nobody shows up thinking they're covered.
